 Office Coordinator-Receptionist                                  

 

Position Summary: The Office Coordinator Receptionist (OC) is the first associate a visitor, applicant, client, or vendor encounters upon entry to the building.  "The Ambassador of First Impressions" should strive to always be neat in appearance and maintain a courteous and professional manner.  Jackson Holdings Group requires this manner to extend to the expert fielding of client calls and efficient communication of any messages.  Excellent voice recognition skills and an outgoing personality are essential to this position.  The OC is primarily responsible for the administration of reception desk business specifically answering all calls in a timely manner, maintaining the reception area, mailroom, library, and kitchen.  A career plan to move into the Operations or Account Coordinator position is preferred.

 

General Purpose:  Internal administrative support and office coordination.

 

Essential Functions:

Administrative

  • Cover reception desk at all times, assure backup is arranged with another designated member of staff for coverage during daily absences for lunch, breaks, meetings
  • Answer all phone calls in a timely and friendly manner; forward calls to the appropriate staff members, page when necessary
  • Promptly greet all visitors to agency in a welcoming manner, acts as host until appropriate personnel are notified of visitor's arrival (including offering/preparing beverages for visitor)
  • Monitor/maintain all resource calendars
  • Coordinate meeting set up requests with appropriate personnel. Order requested food for delivery in advance.  Set up/clean up meeting rooms according to meeting room setup standards
  • Receive all company mail and deliver to appropriate staff member's mailbox, prepare outgoing mail and correspondence on request
  • Receive reception desk deliveries, verify contents are as stated on documentation, notify appropriate personnel of the arrival of any such packages/deliveries
  • Post intranet announcements, update and maintain poll
  • Enter time sheets daily

 

Office Coordination

  • Maintain reception/mailroom/library area to ensure a professional and welcoming appearance, including routing magazines, distributing publications, procuring and keeping adequate office supplies on hand, notify courier when paper is needed for copier
  • Company Dispatcher Continuous communication and in the coordination of courier's runs
  • Responsible for daily kitchen opening and closing procedures
  • Stock client refrigerator and coke machine with beverages as needed. Assure coffee and other beverages are available at all times, especially on days when visitors are expected
  • Keep snack cabinet adequately supplied with a variety of non-perishable food
  • Research most economical prices for office and kitchen supplies prior to preparing weekly order
  • Inventory office supplies (letterhead, forms, etc.), notify the production department when reorder is necessary

Support Service Groups

  • Provide administrative support to various service groups as needed which may include but may not be limited to proofreading, fulfillment, company announcements, tracking reports, maintaining resume database, finance department assignments and account service administrative or project assignments

 Nonessential Functions, Skills & Experience:

  • Previous receptionist experience a plus.
